Run client work in one place. Stop chasing status updates.

WombatOps brings your clients, projects, tasks and documents into one simple workspace — and gives every client a clean portal to see real progress, without another status email.

Invite-only assisted beta — not yet open for public self-serve signup.

Sound familiar?

  • Client work is spread across a CRM spreadsheet, a Trello board, a shared drive and three different inboxes.
  • Clients message “any update?” because they have no visibility into progress.
  • Status updates eat an hour every week that could go to billable work.
  • Tasks live in your head or a notebook, not somewhere your team (or future you) can see them.

One workspace, the way agencies actually work

WombatOps follows the way client work really flows: a client comes in, you start a project, the project breaks into tasks, the tasks produce documents, and progress should be visible — to you and to them.

Who WombatOps is for

  • Small web/marketing/design agencies running 2–15 active client projects.
  • Solo consultants and freelancers who want to look organized without a heavyweight tool.
  • Small service businesses delivering discrete projects to external clients.

What's included

Clients (CRM)

Track status, contact info, pipeline value and next actions for every client in one list.

Projects, Tasks & Board

Kanban board, backlog, lightweight weekly sprints, priorities, due dates, assignees, comments and activity history.

Documents

SOPs, deliverables and notes attached to the right project, with visibility control (internal vs. client-visible).

Client Portal

A clean, read-only view your clients log into to see exactly the progress you've marked visible — nothing more.

Automation & AI assist (beta)

Rule-based nudges for stale or overdue work, plus optional AI-drafted task suggestions a human always reviews first.

Settings & org control

Manage your organization, access and notification preferences in one place.

We onboard you, personally

WombatOps is currently in an assisted, invite-based beta. A real person sets your account up with you, helps you recreate your active client projects, and checks in with you in the first weeks — instead of leaving you to figure it out alone.

Built to keep tenants isolated

Every organization's data is isolated at the database level using row-level security, so one account can never see another's clients, projects or documents. We're a small, hands-on team in beta — every customer gets direct access to us, not a support queue. We're not yet independently security-certified; read the honest detail on our security page.

Common questions

Is this just another Trello/Notion?

No — WombatOps is built specifically around client delivery. The client portal and the Clients→Projects→Tasks→Documents chain are the point, not a generic board.

Can my clients actually log in?

Yes, with a read-only portal that only shows what you mark client-visible.

Is it ready for production use?

It's a working product already running real client delivery internally. New customers join through an assisted, invite-only beta while we finish team invites, billing and formal legal/security pages.

What does it cost?

We're running a founding-beta offer right now — see our beta and pricing pages for honest, clearly-marked draft numbers.
